Appointment booking automation for clinics and OPDs

A clinic's schedule is shaped by many hands. The front desk takes calls, the website collects requests, walk-in patients join the queue and doctors change their availability at short notice. Keeping one accurate OPD schedule across all of this is a full-time job. Finaley AI Studio maintains that schedule in the hospital or clinic system you already use, works from the live doctor roster and leaves clinical prioritisation to your staff.

Several booking channels, one overloaded front desk

Phones ring while the receptionist is registering a walk-in. Website requests wait in an inbox until someone has a moment. A consultant's leave is updated on a whiteboard but not in the booking system, so patients arrive for a doctor who is not there. Patients who miss appointments keep their slot until the session starts, and follow-up visits the doctor asked for are never booked. Queues build up in the morning while afternoon sessions run half empty.

How the automation runs

  1. 1

    Load the doctor roster

    AI agent

The agent reads each doctor's OPD days, session times, leave and slot length from your roster, and updates availability whenever the roster changes.

  2. 2

    Bring requests into one queue

    AI agent

Website forms, missed-call callbacks, front-desk notes and referral letters become booking requests in a single queue with patient details attached.

  3. 3

    Book against the right session

    AI agent

It offers slots by department, doctor and visit type, registers new patients or finds existing records, and confirms the booking by SMS or message.

  4. 4

    Fit walk-ins around bookings

    AI agent

Walk-in registrations are added to the token sequence for that session so the front desk sees one realistic queue.

  5. 5

    Front desk handles urgent cases

    Professional check

Requests mentioning severe symptoms or emergencies go straight to the front desk or duty doctor, who decides what happens next.

  6. 6

    Manage no-shows and follow-ups

    AI agent

It sends reminders, releases slots for unconfirmed bookings by your rules, and books the follow-up visit the doctor noted on the prescription or discharge summary.

Works in your HMS or clinic software

Clinics run on many systems, from full hospital management software to Practo Ray, a cloud EMR or a booking register in Google Sheets. Finaley books directly in whichever one you use, either through its API or through the same screens your receptionist works in. Patient records stay in your system, and your departments, visit types and token rules are kept as they are.

Clinical decisions stay with clinical staff

The automation schedules; it does not triage or give medical advice. Any request that suggests an emergency, a patient asking clinical questions, or a booking that needs a doctor's approval, such as a procedure slot, is passed to your front desk or a clinician to decide.

What you get

  • One live OPD schedule across phone, web and walk-ins
  • Bookings that follow the current doctor roster
  • Released slots offered again instead of left empty
  • Follow-up visits booked before the patient leaves

Questions

How is this different from WhatsApp appointment booking?

A WhatsApp bot handles one channel. This covers the clinic's whole scheduling operation: doctor rosters, phone and website requests, walk-in tokens, no-show handling and follow-up visits, all kept in your hospital or clinic system. WhatsApp can be one of the channels, but it is not the focus.

What happens when a doctor goes on leave?

Once the roster is updated, the agent stops offering that doctor's slots and lists patients already booked. It offers them another session or doctor according to your rules, and anything that needs a judgement call, such as a long-term patient, goes to the front desk.

Does it work for multi-speciality and diagnostic centres?

Yes. Departments, doctors, rooms and visit types such as consultations, procedures and scans can each have their own slot rules. We learn these from your front desk and test them on past bookings before the automation handles live ones.

How are no-shows handled?

You choose the rules. A common setup sends a reminder the day before, asks the patient to confirm, and releases unconfirmed slots to the waiting list at a set time. Patients who miss visits repeatedly can be flagged for the front desk.

Is patient data safe?

Patient details stay in your clinic system and are used only for scheduling. Access is limited to the staff you approve, and every booking change is recorded, so you can see who or what made each change and when.
