Rent collection automation in Google Sheets

Property managers and landlords with a few dozen to a few hundred units often run rent collection from a Google Sheet: one row per unit, a due date, an amount and a column someone fills in when money arrives. Finaley AI Studio keeps that sheet working for you, sending reminders to tenants, matching payments from your bank statements and showing you exactly which units are overdue each morning.

The monthly rent chase

Every month someone has to message each tenant, wait for UPI screenshots, open the bank statement and mark payments against the right flat. Partial payments, maintenance charges and late fees make the sheet harder to keep straight, and owners call to ask whether their rent has come in. When the person who maintains the sheet is away, collections slip and nobody is quite sure who has paid.

How the automation runs

  1. 1

    Read the rent roll

    AI agent

The agent reads your Google Sheet each day to see which units have rent, maintenance or deposits falling due.

  2. 2

    Remind tenants

    AI agent

Tenants get polite reminders on WhatsApp, SMS or email before the due date, with the amount and your payment details.

  3. 3

    Match incoming payments

    AI agent

It reads your bank statement or payment gateway report and matches each credit to the right unit using UPI references, names and amounts.

  4. 4

    Update the sheet

    AI agent

Paid, partly paid and overdue units are marked in the sheet, with the payment date and reference recorded next to each one.

  5. 5

    Escalate overdue rent

    Professional check

Units still unpaid after your grace period receive a firmer reminder, and a list goes to the property manager to call personally.

  6. 6

    Send owner statements

    AI agent

At month-end each owner receives a short statement of rent collected, charges deducted and any arrears on their units.

Your Google Sheet stays the source of truth

Finaley works on the Google Sheet you already keep, adding columns only if you agree to them. Payments are matched from bank statement downloads or your payment gateway reports, and reminders go out from your WhatsApp Business number, SMS sender or email. If you later move to property management software, the same process can run there instead.

People handle the difficult conversations

Reminders follow a schedule and tone you approve. Anything sensitive, such as a tenant disputing an amount, asking for more time or reporting a repair issue, is passed to your property manager immediately rather than handled by the automation.

What you get

  • Reminders sent on time, every month, to every tenant
  • Payments matched to units without manual checking
  • An up-to-date list of overdue units each morning
  • Owner statements ready at month-end

Questions

Do we have to change the layout of our sheet?

No. The automation reads your current layout. If a column is missing, such as a tenant phone number, we suggest adding it, but we work with your existing structure wherever possible.

How does it match payments that only show a UPI reference?

It compares the amount, date, payer name and reference against the units due that month. When a payment could belong to more than one unit, it is flagged for a person to confirm instead of being guessed.

Can it handle maintenance charges and late fees?

Yes. Separate charges are tracked in their own columns and included in reminders and owner statements. Late fees are applied only according to the rules written in your agreements, and never invented.

Will tenants find the reminders annoying?

Reminders are short, polite and limited to the schedule you choose. Tenants who have already paid stop receiving them immediately, and you can pause reminders for any unit at any time.

How long does it take to set up?

Share your rent sheet, a recent bank statement and your preferred reminder channel. We test matching on the last month's payments before any reminders are sent to tenants.
