Admission enquiry automation for schools and colleges

Admission season brings enquiries from every direction: education portals, the website form, Google listings, phone calls and parents walking in at the front desk. Many go unanswered for days because counsellors are busy with campus visits. Finaley AI Studio responds to each enquiry quickly, logs it in your CRM, and schedules time with a counsellor. Who gets admitted is still decided only by your admissions team.

Enquiries lost between portals and the front desk

Leads from Shiksha, CollegeDunia or similar listings arrive in separate dashboards. Walk-in details are written in a register. A parent who asks about hostel fees on WhatsApp may never be called back. Counsellors re-enter the same names into a spreadsheet or CRM, follow-ups slip, and the institute cannot tell which source actually produced enrolled students.

How the automation runs

  1. 1

    Gather every enquiry

    AI agent

The agent collects leads from portal dashboards, website forms, WhatsApp and the scanned walk-in register, and removes duplicates by phone and email.

  2. 2

    Answer common questions

    AI agent

It replies with approved details on courses, eligibility, fee structure, hostel and important dates, using the prospectus your team provides.

  3. 3

    Qualify the lead

    AI agent

It records the course of interest, current class or qualification, city and preferred intake, and tags the lead in your CRM.

  4. 4

    Book a counselling slot

    AI agent

Interested students and parents are offered a call or campus visit in your counsellors' calendar, with reminders sent the day before.

  5. 5

    Counsellor takes over

    Professional check

Your admissions counsellor holds the conversation, reviews eligibility and decides on the application; the automation only updates the record afterwards.

  6. 6

    Nurture the undecided

    AI agent

Leads who are not ready receive scheduled follow-ups about deadlines and open days until they apply or opt out.

Uses your CRM, ERP and portal accounts

Finaley logs into the education portals where you list courses, reads your website form submissions and works in the CRM or school ERP your office uses, such as an admissions module, LeadSquared or a shared sheet. Messages go out from your institute's own WhatsApp number and email, in the language parents use with you.

Admission decisions belong to your team

The automation shares only information your institute has approved and never offers seats, concessions or scholarships. Eligibility judgements, merit decisions and fee waivers are made by your admissions office. Unusual questions, such as reservation category or transfer mid-year, are passed straight to a counsellor.

What you get

  • Every enquiry answered the day it arrives
  • One list of leads across portals and walk-ins
  • Counsellors talking to families, not typing
  • Clear view of which sources lead to applications

Questions

Can it answer questions about fees and eligibility?

Yes, using the exact fee structure, eligibility rules and dates your institute approves. When a question falls outside that material, such as a special category or a credit transfer, it does not improvise. It tells the parent a counsellor will respond and passes the conversation on.

Does it decide who gets admission?

No. It collects details and schedules counselling, but every admission decision, merit list, scholarship and concession is made by your admissions team. The automation records the outcome in your CRM once a counsellor has decided.

How are walk-in enquiries captured?

If your front desk keeps a paper register, staff can photograph each page at the end of the day and the automation reads it into your CRM. If you already use a tablet form, it reads from that. Either way, walk-ins join the same follow-up flow as online leads.

Can it reply in Hindi or regional languages?

Replies can be prepared in the languages your counsellors already use with parents, based on approved text you provide. Questions it cannot answer confidently in that language are handed to a counsellor rather than translated loosely.

When should we set this up?

Ideally a few weeks before your admission cycle opens. You show us how your office handles enquiries today, we build the automation and test it on last season's leads, and it starts working once its responses match what your counsellors would send.
