Student document verification automation for colleges
Every admitted student brings a stack of papers: mark sheets, a transfer certificate, a migration certificate, caste or income certificates, ID proof and photographs. Staff check each one against the application, spot spelling differences and chase missing copies before enrolment closes. Finaley AI Studio does the first full check on every file, in your ERP, and passes anything doubtful to your admissions office to decide.
Verification bottlenecks at enrolment
Documents come in as uploads, photocopies and phone photos. Names are spelled differently across boards, marks are entered wrongly on the form, and reserved-category certificates may have expired. Checking hundreds of files by hand during a short enrolment window leads to rushed approvals, students stuck in limbo, and errors that surface only when the university asks for records.
How the automation runs
- 1
Collect the file
AI agentThe agent gathers uploads from your admission portal or ERP, plus scanned copies submitted at the office, and lists each student's documents.
- 2
Check completeness
AI agentIt compares what was received with the document checklist for that course and category, and messages the student about anything missing.
- 3
Read and compare details
AI agentName, date of birth, board, roll number and marks are read from each mark sheet and compared with the application form.
- 4
Flag inconsistencies
AI agentSpelling differences, mismatched marks, expired certificates or unclear scans are listed with the exact field and document affected.
- 5
Admissions office review
Professional checkYour admissions officer reviews the flagged items, checks originals where needed and approves, rejects or asks the student for correction.
- 6
Update the student record
AI agentVerified status, remarks and document links are saved in your ERP or LMS, ready for university submission or audit.
Inside your admission portal and ERP
Finaley works in the admission portal and college ERP your office already uses, such as a university-linked system, a commercial campus ERP or a shared drive. Where official portals such as DigiLocker are already part of your process, the automation follows the same steps your staff take. Nothing new is asked of students.
Final approval is always by your staff
The automation prepares a clear checklist for every student; it does not accept or reject anyone. Questions of eligibility, equivalence of boards, category certificates and genuineness are decided by your admissions officer. Every approval is recorded with the reviewer's name, so the trail is ready when the university or an auditor asks.
What you get
- Every file checked before enrolment closes
- Missing documents chased automatically
- Mismatches shown field by field
- Records ready for university submission
Questions
Can it detect forged mark sheets?
It can flag signs worth a closer look, such as marks that do not add up, a format that differs from other certificates from the same board, or details that conflict with the application. Judging whether a document is genuine remains with your admissions officer, who may check originals or the issuing board.
What kinds of documents can it read?
Mark sheets, transfer and migration certificates, character certificates, caste and income certificates, Aadhaar or other ID proofs, and photographs. It handles clear scans and phone photos, and marks any unreadable field for your staff to confirm instead of guessing.
Will students need to do anything differently?
No. They submit documents through your portal or at the office, exactly as they do now. The only change they notice is a quicker message when something is missing or needs correcting, sent from your institution's usual email or number.
Does it make admission or eligibility decisions?
No. It prepares the comparison and the list of issues, but eligibility, board equivalence, category benefits and final approval are all decided by your admissions office. The automation records their decision and the reviewer's name.
How do you test it before enrolment season?
We run it on files from a past intake that your staff have already verified and compare its findings with theirs. It is used on new applications only after the results match, and you can review every run in the activity record.
