CRM data entry automation in Salesforce

Salesforce is only as useful as the data your reps put into it, and most reps would rather sell than update records. Meetings go unlogged, opportunity stages drift and next steps live in someone's notebook. Finaley AI Studio keeps your Salesforce org current by capturing activity from email, calendar and call notes and writing it to the right records, so forecasts and pipeline reviews reflect what is really happening.

The cost of an out-of-date Salesforce org

When activity is not logged, managers cannot see which deals are moving, forecasts are built on stale stages, and handovers lose context because the history is missing. Sales operations teams chase reps for updates every week, and reps spend Friday afternoons back-filling records from memory. Duplicate leads and contacts creep in from imports and web forms, which makes routing and reporting even less reliable.

How the automation runs

  1. 1

    Capture sales activity

    AI agent

The agent reads the emails, calendar meetings and call notes your reps agree to share, as they happen through the day.

  2. 2

    Find the right records

    AI agent

It matches each activity to the correct lead, contact, account and opportunity, and spots possible duplicates before creating anything new.

  3. 3

    Log activities and notes

    AI agent

Emails, meetings and call summaries are logged as activities on the right records, with key points pulled into the notes your team uses.

  4. 4

    Suggest stage and next step

    AI agent

Based on what was discussed, it proposes an opportunity stage, close date and next step for the owner to confirm or edit.

  5. 5

    Clean duplicates

    AI agent

Possible duplicate leads and contacts are listed with the evidence, ready to merge following your data rules.

  6. 6

Weekly review with your sales lead

    Professional check

Your sales lead reviews the proposed stage changes and duplicate merges before pipeline meetings and approves what goes into the forecast.

Fits your Salesforce configuration

Finaley works with your standard and custom objects, fields, record types and validation rules through the Salesforce API, under a user with only the permissions it needs. It respects the sharing model your admin has set, so it never writes to records a rep could not touch. Your admin keeps full control of the org, and nothing in your configuration has to change.

People confirm what affects the forecast

Logging activity is automatic, but changes that affect your forecast are not. Stage moves, close dates and amount changes are proposed to the opportunity owner or your sales lead and only applied once they confirm. Every change the automation makes is recorded in the field history.

What you get

  • Activity logged on every deal without rep effort
  • Pipeline reviews based on current stages
  • Fewer duplicate leads and contacts
  • Reps back to selling instead of updating records

Questions

Do reps have to share all of their email?

No. Each rep chooses what is shared, and you can limit capture to emails with customers and prospects already in Salesforce. Personal and internal messages can be excluded entirely, and the rules are agreed with your team during setup.

Will it break our validation rules or required fields?

No. The automation works within your validation rules and required fields. If a record cannot be saved because information is missing, it asks the owner for that information instead of filling in placeholder values.

Which Salesforce editions does it support?

It works with editions that include API access, such as Enterprise and Unlimited. If your edition limits API use, we discuss the options with you before building anything, so there are no surprises later.

Can it update custom objects we built?

Yes. During setup we map your custom objects and fields, and the automation updates them the same way your team does. Your admin approves the mapping before anything is written to live records.

How do we start?

Walk us through how a rep updates Salesforce after a meeting today, and share a sample of recent activity. We build and test on that sample, then switch on capture for one team before extending it to everyone.
