Quotation follow-up automation in Zoho CRM
In many B2B businesses the sale is won or lost after the quotation is sent. Quotes are built by hand from price lists, wait in someone's inbox for approval, and then go unanswered because nobody follows up at the right moment. Finaley AI Studio handles the quote-to-follow-up stretch inside Zoho CRM, so every deal that reaches the quotation stage keeps moving.
Where deals stall after the quote
Salespeople juggle dozens of open quotations, each with its own discount, validity date and decision-maker. Building a quote means copying products and prices from a spreadsheet, checking the customer's past rates and getting a manager's sign-off on any discount. Once sent, the quote often sits untouched: reminders depend on memory, revised versions get lost in email threads, and the deal stage in Zoho CRM stops matching reality. Managers then forecast from quotes that went cold weeks ago.
How the automation runs
- 1
Spot deals ready to quote
AI agentWhen a deal in Zoho CRM reaches the quotation stage, the agent collects the products, quantities and customer details already recorded on it.
- 2
Draft the quotation
AI agentIt builds the quote in Zoho CRM from your current price book, applies the customer's agreed rates and fills in taxes, terms and validity.
- 3
Get discount approval
Professional checkAny discount above your limit is sent to a sales manager with the deal history, and the quote is released only after they approve it.
- 4
Send and track
AI agentThe approved quote is emailed to the buyer from the salesperson's address, and opens and replies are tracked against the deal.
- 5
Follow up on time
AI agentIf the buyer goes quiet, polite follow-ups go out at the intervals you set, and questions in replies are summarised for the salesperson.
- 6
Keep the deal stage honest
AI agentAccepted, revised and expired quotes update the deal stage and close date, so the pipeline reflects what buyers have actually said.
Uses your Zoho CRM quotes and price books
Finaley works with the Quotes module, products, price books and deal stages you already have in Zoho CRM, through the Zoho CRM API. If you create quotes in Zoho Books or send them from Zoho Mail, the automation follows that path instead. Your templates, numbering and approval process stay exactly as your team set them up.
Managers approve every discount
The automation never changes a price or grants a discount on its own. Quotes outside your standard pricing go to a sales manager for approval, and anything a buyer asks that needs judgement, such as custom terms or a counter-offer, is handed straight to the salesperson who owns the deal.
What you get
- Quotes sent the same day a deal is ready
- Every open quotation followed up on schedule
- Discounts approved before they reach a buyer
- A pipeline that matches what buyers have said
Questions
Can it use our own quotation template?
Yes. The automation fills in the Zoho CRM quote template your team already uses, including your logo, terms and numbering. If you keep a separate PDF format for certain customers, we set that up as part of the build.
How does it know what price to quote?
It uses the price books and products in Zoho CRM, plus any customer-specific rates recorded on the account. If a product has no price or a rate looks unusual, it stops and asks the salesperson rather than guessing.
Will buyers know the follow-up emails are automated?
Follow-ups are sent from the salesperson's own address in your team's tone, using wording you approve. They are short and polite, and any reply goes straight to the salesperson so the conversation stays personal.
What happens when a buyer asks for a revised quote?
The request is summarised for the salesperson, who decides what to change. Once they confirm, the automation produces the revised quote, sends it and links both versions to the deal so the history is clear.
