Shipment tracking automation for logistics companies
A tracking desk spends its day copying status lines from one screen to another. An executive opens a carrier portal, pastes an AWB or LR number, reads the latest scan, updates the TMS and then messages the customer. Finaley AI Studio takes over that loop. It follows the exact routine your team uses, across the portals you already log into, and hands any stuck or disputed consignment to a person on your side.
Status checks that never end
A mid-sized forwarder may move freight through several courier partners, a few road transporters and an air or sea line, each with its own portal and status vocabulary. Customers expect an update without asking. In practice someone refreshes portals all morning, misses a consignment that has sat at a hub for two days, and learns about it when the consignee complains. Delay reasons get typed inconsistently, so nobody can tell later which lane or partner keeps slipping.
How the automation runs
- 1
Build the day's watchlist
AI agentThe agent pulls open consignments from your TMS, ERP or booking sheet, with each AWB, LR or container number and the promised delivery date.
- 2
Read every carrier portal
AI agentIt logs into each courier, transporter and line portal the way your executive would and records the latest scan, location and remark.
- 3
Normalise the status
AI agentPartner wording such as out for delivery, misroute or held at hub is mapped to your own status codes so reports stay consistent.
- 4
Spot consignments at risk
AI agentIt compares progress against the promised date and flags loads with no movement, repeated attempts or a missing e-way bill extension.
- 5
Escalation to your ops lead
Professional checkFlagged consignments go to your operations lead with the full scan history, and they decide whether to call the partner or reroute.
- 6
Update the customer
AI agentRoutine updates go out by email or WhatsApp in your template, and the new status is written back to the TMS with a timestamp.
Across the portals your desk already uses
Most tracking work happens on partner websites with no shared feed. Finaley works through those screens the same way your staff does, and uses a carrier API where one is available. Your TMS, whether a known product, an in-house tool or a shared spreadsheet, stays the record. Customer messages use the email account and WhatsApp number your clients already recognise.
People decide what happens to a stuck load
The automation reports facts; it does not promise new dates or blame a partner. When a consignment is stuck, short-delivered or showing a doubtful scan, it stops and passes the case to your operations lead or key account manager. They choose the next action, and the record shows who decided it and when.
What you get
- Customers hear about delays before they call
- One status vocabulary across every partner
- Stuck consignments surfaced the same morning
- Tracking staff freed for exception calls
Questions
Which carriers and transporters can it track?
Any partner whose portal your team can log into today, plus those that offer an API. During setup you show us how your desk checks each one, and we build the automation to follow the same steps. Adding a new transporter later means recording that one portal again.
Will customers get messages they should not see?
Only the updates you approve as templates go out automatically. Anything involving damage, shortage, a missed commitment or a sensitive client is held for a person on your team. You can also choose which customers receive proactive updates and which only get them on request.
Can it handle e-way bill validity on long road moves?
It can watch the validity date on open road consignments and raise an alert when a truck is still in transit near expiry. Extending the e-way bill remains a step your team or transporter takes, and the alert carries the details they need to do it quickly.
What if a portal changes its layout?
Runs are monitored, and when a portal stops returning the expected fields the automation pauses that partner and tells us instead of writing bad data. We adjust it to the new layout and test it again before it resumes. You can see every run in the activity record.
How do we start?
Record a short screen session of an executive tracking a handful of consignments across your main partners, or walk us through it on a call. We build the automation, run it against recent shipments until its statuses match your team's, and then switch it on for daily use.
