An AI executive assistant for Gmail that keeps your inbox moving

Founders and operations heads lose hours each day inside Gmail. Important threads hide between newsletters, promised follow-ups slip, and documents someone said they would send never arrive. Finaley AI Studio builds an assistant that works from your own inbox the way a trusted executive assistant would. It sorts mail, drafts replies for you to approve, chases what is pending and hands you a clear briefing each morning.

An inbox that runs your day instead of the other way round

Every message asks for something: a decision, a reply, a file, a meeting. Without help, you either live in Gmail or let threads go cold. Vendors wait for answers, clients wait for proposals, and the signed agreement you asked for last week is still missing. Hiring a full-time assistant is costly, and handing your inbox to someone new means explaining your priorities and preferences from scratch.

How the automation runs

  1. 1

    Sort the inbox

    AI agent

The agent labels incoming mail by priority and type, such as clients, vendors, approvals and reading, using the rules you describe during setup.

  2. 2

    Draft replies in your voice

    AI agent

For routine threads it prepares a reply based on how you have answered similar mail before, and leaves it in Drafts for your approval.

  3. 3

    You approve what goes out

    Professional check

You read, edit or discard each draft. Nothing sensitive is sent without your say, and you can allow certain routine replies to go automatically.

  4. 4

    Track promised follow-ups

    AI agent

When someone says they will get back to you, the agent notes the date and sends a polite nudge from your account if nothing arrives.

  5. 5

    Chase pending documents

    AI agent

It keeps a list of files you are waiting for, such as signed contracts or invoices, and reminds the sender until they land in your inbox.

  6. 6

    Send a daily briefing

    AI agent

Each morning you receive a short email listing urgent threads, decisions waiting on you, today's meetings and anything that is overdue.

Lives inside your Google Workspace

The assistant works directly in your Gmail account, using labels, drafts and filters you can see, and reads Google Calendar to prepare the briefing. It uses Google's APIs where they fit and the Gmail interface otherwise. There is no new app to install or check, and you can watch every change it makes in the inbox you already use.

You decide what it may send

At the start, every outgoing message waits in Drafts for you. As you grow comfortable, you can let simple acknowledgements or reminders go on their own. Anything involving money, legal terms or a new contact is always held for you. Each label, draft and sent nudge is recorded, so you can check what the assistant did on any day.

What you get

  • A morning briefing instead of an overflowing inbox
  • Follow-ups sent on time without you remembering them
  • Pending documents chased until they arrive
  • Replies ready for a quick review rather than written from scratch

Questions

Will it send emails without my permission?

Not unless you allow it. By default every reply waits in your Drafts folder. You can later approve specific types, such as acknowledgements or document reminders, to go automatically, while anything involving money, contracts or new contacts is always held for you to read first.

How does it learn how I write?

During setup we look at examples of your past replies and talk through your preferences, such as tone, sign-off and how you handle common requests. The drafts follow that style, and your edits show us where to adjust before the assistant handles more on its own.

Can it manage more than one inbox?

Yes. It can work across a personal Gmail and shared addresses like accounts or operations, keeping labels and rules separate for each. The briefing can combine them or come separately, depending on how you prefer to see your day.

What does the daily briefing include?

It lists threads that need your decision, overdue replies, follow-ups that went unanswered, documents still pending and today's calendar. It is a short email you can read in a few minutes, and each item links straight to the original thread in Gmail.

Is my email kept private?

The assistant reads only the accounts you connect and acts only within the rules you approve. No one outside your team reads your mail as part of normal running, and a record of every action it takes is available so you can review it whenever you like.
