Policy renewal reminder automation for insurers and brokers

Renewals are the cheapest business an insurer or broker writes, yet many policies lapse simply because nobody reminded the customer in time. Preparing renewal notices, checking premiums and following up across thousands of policies is repetitive work. Finaley AI Studio produces renewal notices from each policy schedule, reminds customers through the channels they use and hands over the cases that need a person, all inside your existing policy administration system.

Renewal follow-up depends on who has time

Expiry lists are pulled from the policy system each month and divided among branches or relationship managers. Notices are generated, but quoted premiums, no-claim bonus and sum insured often need checking. Customers change phone numbers, ignore emails and forget that the grace period is short. Agents chase the largest accounts and the long tail lapses. When a lapsed health or motor policy surfaces, it usually costs the customer continuity benefits and costs you the relationship.

How the automation runs

  1. 1

    Pull upcoming expiries

    AI agent

The agent reads policies expiring in your chosen window from the policy administration system, with the schedule, premium history and agent code.

  2. 2

    Prepare the renewal notice

    AI agent

It builds each notice from your approved template, carrying over sum insured, renewal premium, bonus details and the disclosures your template requires.

  3. 3

    Approver checks exceptions

    Professional check

Notices with changed terms, premium increases above your threshold or missing data go to your underwriting or operations approver before they are sent.

  4. 4

    Send a reminder sequence

    AI agent

Customers receive reminders by email, SMS, WhatsApp or a scripted call on a schedule you set, each with a payment or renewal link.

  5. 5

    Hand over to the agent

    AI agent

Customers who ask questions, request changes or have not responded close to expiry are passed to the servicing agent or branch with the full history.

  6. 6

    Confirm and record

    AI agent

When payment is received, it confirms the renewal, records the outcome against the policy and removes the customer from the reminder sequence.

Runs on your policy and communication systems

Finaley reads expiry data from your core policy system or broker management software and sends reminders through the email, SMS and messaging accounts you already operate. Templates, sender names and payment links remain yours. Where systems have no API, the automation works through their screens.

Notice content is approved by your team

Renewal notices carry regulated information, so your team approves each template and its required disclosures in general, and reviews any notice with changed terms. The automation does not change premiums or terms and does not offer advice on cover; agents handle those conversations.

What you get

  • Every expiring policy reminded on schedule
  • Notices built from the current policy schedule
  • Lapsing policies passed to agents before expiry
  • A renewal history on each policy record

Questions

Is this for insurers or brokers?

Both. Insurers use it to remind direct customers and support their agency channels. Brokers use it to work through renewals across several insurers, with notices built from each insurer's renewal terms and their own client records.

Can the reminders use our approved wording?

Yes. Templates, disclosures and sender details are agreed with your compliance or operations team before launch, and the automation uses only approved versions. Any change to a template goes through the same approval again, and the date of each approval is recorded.

What happens when a customer wants to change their cover?

The automation does not alter cover or quote new terms. It records the request and passes it to the servicing agent or underwriter, together with the policy details and every reminder sent so far, so the customer does not repeat themselves.

Which channels can reminders go through?

Email, SMS, WhatsApp and scripted voice calls, in English and major Indian languages. You choose the order and timing for each product and customer segment, and customers who opt out are not contacted again. Preferred channels recorded on the policy are used first.

How do we measure what it is doing?

Every reminder, response and renewal is recorded against the policy. Your team can see which customers were reached, which renewed, which were handed to agents and which lapsed, without building a separate report, and can trace any complaint back to the exact message sent.
