GST return preparation automation for CA firms
GST deadlines arrive every month whether clients have sent their data or not. Preparing GSTR-1, reconciling input tax credit against GSTR-2B and building the GSTR-3B summary for each client takes days of chasing and spreadsheets. Finaley AI Studio prepares those working papers for every client, following your firm's checklist, and puts them in front of the CA who files. Filing and every judgement call remain with your professionals.
Filing week turns into chasing week
Sales registers arrive late or in odd formats. Credit notes are missing. Purchase registers do not agree with what suppliers uploaded, so ITC differences need investigating before GSTR-3B. Staff export data from Tally or Zoho Books, clean it in Excel, download GSTR-2B and match line by line, all for dozens of GSTINs in the same few days. Mistakes made under that pressure lead to notices and amendments later.
How the automation runs
- 1
Chase data before the deadline
AI agentEach client receives a reminder listing what is still needed for the period, such as sales registers, credit notes or e-way bill details.
- 2
Prepare GSTR-1 details
AI agentOutward supplies are pulled from the client's books and arranged by B2B, B2C, exports and credit notes, with GSTIN and HSN errors highlighted.
- 3
Reconcile purchases with GSTR-2B
AI agentThe purchase register is compared with the downloaded GSTR-2B, sorting invoices into matched, missing, excess and mismatched amounts.
- 4
Draft GSTR-3B working papers
AI agentTax liability and eligible ITC are summarised in your firm's working paper format, alongside the mismatch list from the reconciliation.
- 5
CA reviews and files
Professional checkA chartered accountant at your firm reviews the working papers, decides on ITC positions and files the returns on the GST portal.
- 6
Share the summary with the client
AI agentAfter filing, the client receives a summary of liability, credit claimed and supplier invoices still missing from GSTR-2B.
Reads from client books and the GST portal
Data comes from each client's Tally, Zoho Books or the sales and purchase files they send. GSTR-2B and filed return data are downloaded from the GST portal using the access your firm already holds for the client. Working papers are saved in the Excel templates and folders your team uses today.
Tax positions are a professional's call
Whether to claim, defer or reverse input tax credit is a decision for a CA, so the automation never makes it. It lays out the facts, highlights differences and leaves the return unfiled. Your reviewer approves the numbers and submits on the portal.
What you get
- Working papers ready for review before filing week
- Supplier mismatches listed for every client
- Clients reminded of missing data in good time
- CAs reviewing positions instead of cleaning spreadsheets
Questions
Does the automation file returns on the GST portal?
No. It prepares the data and working papers. A CA at your firm reviews them and files the return. This keeps the professional decision and the act of filing with the person responsible for the client, and the run record shows exactly what was prepared.
Can it handle clients with multiple GSTINs?
Yes. Each registration is prepared separately, with its own books, GSTR-2B and working papers. A consolidated view across the client's GSTINs can also be produced if your firm reviews them together.
What happens with suppliers missing from GSTR-2B?
Those invoices are listed with supplier name, GSTIN and amount. Your CA decides how to treat the credit, and if you choose, the client receives a list to follow up with those suppliers before the next period.
Does it work for quarterly QRMP clients as well?
Yes. The calendar for each client follows their filing frequency, including IFF and PMT-06 months for QRMP filers. Reminders and working papers are timed to each client's actual due dates rather than one fixed schedule.
How long does setup take for our practice?
We start with a recording of your team preparing returns for a few clients, along with your working paper templates. The automation is tested on past periods until its figures match what your team filed, then extended client by client.
