Bank reconciliation automation for accounting firms
Bank reconciliation is the job every bookkeeping practice postpones until the month-end deadline arrives. Statements come in as PDFs with different layouts per bank, clients forget to mention receipts, and the unmatched list keeps growing. Finaley AI Studio reconciles each client's bank accounts against their ledgers, prepares suggested entries for routine items, and gives your reviewers a short list of genuine questions instead of a full statement to tick.
Unreconciled accounts hide the real numbers
A client with three current accounts and a credit card can produce hundreds of lines a month. UPI narrations are cryptic, NEFT references are truncated, and bank charges arrive in small amounts that are easy to miss. Staff tick entries one by one in Tally's bank reconciliation screen or a spreadsheet. When the work slips, GST, TDS and advance tax figures are prepared on books that are not yet right.
How the automation runs
- 1
Fetch the client's statements
AI agentMonthly statements are collected from the client, the bank download or your shared folder, and converted into clean transaction lines.
- 2
Match against the ledger
AI agentEach line is matched to receipts, payments and contra entries in the client's books by amount, date, reference and party.
- 3
Propose entries for routine items
AI agentBank charges, interest credits, recurring rent or subscription payments and known UPI collections get draft entries using that client's ledgers.
- 4
Ask the client about unknowns
AI agentUnidentified credits and debits are listed in a short message to the client, asking what each one was for.
- 5
Reviewer approves the reconciliation
Professional checkA senior or manager at your firm checks proposed entries and open items before the reconciliation is marked complete.
- 6
Post and close the month
AI agentApproved entries are posted, reconciliation dates are updated in the client's books and a statement of open items is saved.
Works with each client's banks and books
Statements from any bank can be read, whether PDF, Excel or CSV. Matching and posting happen inside each client's own Tally company or Zoho Books organisation, using its existing bank ledgers. Where Zoho bank feeds are already connected, the automation works with those feeds instead of downloading statements again.
No unexplained entry slips through
Draft entries are suggestions until a reviewer approves them. Large unexplained receipts, cash deposits, transfers to directors or related parties and anything that might affect tax are never posted without a person looking first. Your firm decides the thresholds for each client.
What you get
- Clients' bank accounts reconciled every month
- Routine charges and interest booked without manual effort
- Short, specific questions sent to clients about unknown items
- Cleaner books before GST and TDS work begins
Questions
Can it read statements from smaller co-operative banks?
Yes, as long as the statement is a readable PDF, Excel file or clear scan. Each new layout is checked against a sample before live use. Where a page cannot be read reliably, the automation flags it rather than skipping lines.
How does it handle UPI receipts with unclear narrations?
It uses patterns from the client's past entries, such as a known payer's UPI handle, to suggest the party. When no reliable pattern exists, the receipt is listed for the client to explain. Nothing is booked to a suspense ledger silently.
Will it post entries without approval?
Only if your firm allows that for specific low-risk categories, such as standard bank charges. Everything else waits for a reviewer at your firm. You can change those settings for each client at any time, and every posting shows who approved it.
Does the client need to give us online banking access?
Not necessarily. Many firms simply receive statements by email or a shared folder each month, and the automation works from those. Where a client has already given read-only access, it can download statements directly the way your staff would.
How do we begin?
Share a recording of someone reconciling one client's account, plus a past statement and the matching books. We build from that, run it on earlier months until the reconciliation matches your team's, then roll it out to more clients.
