Bank reconciliation automation in Excel

Plenty of finance teams still reconcile banks in Excel: download the statement, paste it next to the ledger export, and work through VLOOKUPs and colour-coding until the closing balances agree. Finaley AI Studio runs that reconciliation for you in the same workbook format your team uses, every day, and leaves your accountant with a short list of genuine differences instead of a month of rows.

The spreadsheet reconciliation trap

Bank narrations are inconsistent, UPI references are truncated, and a single customer payment can settle several invoices. Matching them by hand across multiple accounts takes days, and the work usually waits until month-end, when unexplained items have had weeks to pile up. Formulas break when a bank changes its statement layout, and the person who built the workbook is often the only one who understands it. The result is a reconciliation that is late, fragile and hard to review.

How the automation runs

  1. 1

    Fetch statements

    AI agent

The agent downloads statements from your bank portals or picks them up from the inbox where they are emailed, for every account you choose.

  2. 2

    Clean the data

    AI agent

It standardises dates, amounts and narrations, and extracts UPI, NEFT and cheque references so lines can be compared reliably.

  3. 3

    Match against the ledger

    AI agent

It matches bank lines to your ledger export one-to-one, one-to-many and many-to-one, using amounts, dates, references and party names.

  4. 4

    Build the reconciliation workbook

    AI agent

Results are written into your existing Excel template, with matched items, unmatched items and the reconciled balance on separate sheets.

  5. 5

    Explain the differences

    AI agent

For each unmatched item it suggests a likely cause, such as a bank charge, a pending cheque or a missing receipt entry.

  6. 6

    Accountant review

    Professional check

An accountant reviews the remaining differences, confirms the entries to pass, and signs off the reconciliation for the period.

Keeps your Excel format

Your team keeps working in the workbook layout it already trusts. Finaley fills in the same sheets, columns and summary your accountant reviews today, so nobody has to learn a new reconciliation tool. The ledger side can come from Tally, Zoho Books, SAP or any system that exports to Excel or CSV, and bank statements can come from any bank portal your team logs into.

Every difference reviewed by a person

Matching is automated, but deciding what an unexplained difference means is not. A chartered accountant from the Finaley network or your own finance lead reviews every unmatched item and the final reconciled balance before the period is closed, and their sign-off is recorded in the workbook.

What you get

  • Banks reconciled daily instead of at month-end
  • Only genuine differences left for people to review
  • A consistent workbook that does not depend on one person
  • A signed-off reconciliation ready for audit

Questions

Which banks does this work with?

Any bank whose statements your team can download from a portal or receive by email. The automation adapts to each bank's statement layout, and if a bank changes its format, the automation is updated rather than your formulas breaking silently.

Do we have to stop using our Excel template?

No. We use your existing template so your accountant reviews the same layout as before. If you would like a cleaner template, we can suggest one, but switching is your choice and is never required.

How does it handle one payment that settles several invoices?

It looks for combinations of ledger entries that add up to the bank amount, using references and party names to choose the right ones. Where more than one combination is possible, it flags the line for a person to decide.

Is our bank login information safe?

Credentials are stored in a secure vault, used only by the automation for the accounts you approve, and never shown to reviewers. Read-only access is used wherever your bank offers it, and every login is recorded.

How quickly can we see it working?

Send us one month of statements, your ledger export and your current workbook. We build and test the reconciliation on that history first, so you can compare the results with what your team produced before anything runs live.
