Bill entry automation in Zoho Books
Zoho Books makes it easy to see what you owe, but only after someone has created every bill, picked the vendor, mapped each line to an account and linked the purchase order. Finaley AI Studio takes over that entry work inside your own Zoho Books organisation, applies your account mapping and approval rules, and keeps a professional in the loop for the bills that carry real money.
Where Zoho Books bookkeeping slows down
Growing teams receive bills from dozens of vendors, each with its own format, tax treatment and payment terms. Entering them means checking the vendor's GST treatment, choosing the right expense or inventory account, applying TDS where it is due and matching the bill to an open purchase order. Bank feeds then fill up with uncategorised transactions that someone has to match back to those bills. When this piles up, payables reports stop being trustworthy and vendors start chasing payments your team thought were already scheduled.
How the automation runs
- 1
Pick up new bills
AI agentBills forwarded to your Zoho inbox, emailed to accounts or shared on WhatsApp are collected automatically as soon as they arrive.
- 2
Identify the vendor and terms
AI agentIt matches each bill to the right vendor record, including GST treatment, payment terms and any TDS section that applies to that vendor.
- 3
Map lines to accounts
AI agentEach line is mapped to the expense, asset or inventory account your team would use, following the patterns in your existing bills.
- 4
Link the purchase order
AI agentWhere a purchase order exists, the bill is converted against it, and quantity or rate differences are held back for review.
- 5
Approval for large or new vendors
Professional checkBills over your threshold or from first-time vendors go to an accountant who approves them before they become payable.
- 6
Match the bank feed
AI agentWhen the payment clears, it matches the bank feed transaction to the bill so your reconciliation stays current every day.
Runs inside your Zoho Books organisation
Finaley works in Zoho Books with your existing chart of accounts, vendors, tax rates and approval settings, using Zoho's API where it fits and the web interface where it does not. If you also use Zoho Inventory or Zoho Expense, the automation follows the same records your team already relies on. Nothing is moved to a new system, and your accountant can keep reviewing work in the screens they know.
Accountant sign-off where the risk is
Every bill above the amount you choose, every new vendor and every bill that fails a check is reviewed by a chartered accountant from the Finaley network or your own finance lead. They see the original document, the vendor history and the proposed entry together, and the bill only becomes payable after they approve it.
What you get
- Payables that reflect every bill received, not just the ones entered
- Purchase order mismatches stopped before payment
- Bank feeds reconciled daily instead of monthly
- A clean approval trail for audits and vendor queries
Questions
Do we need Zoho Books on a particular plan?
No specific plan is needed for the automation itself. It uses the features your organisation already has, such as purchase orders, approvals and bank feeds. If a feature is missing from your plan, we design the workflow around what you have instead of asking you to upgrade.
How does it decide which account a bill line goes to?
It learns from your existing bills and your accountant's walkthrough, then applies the same mapping. When a line does not fit any pattern it has seen before, it asks rather than guessing, and your answer becomes part of the rules for next time.
Will it handle TDS on vendor bills?
Yes, where your vendors are set up with TDS sections in Zoho Books the automation applies them as your team does today. Any bill where the TDS treatment is unclear is routed to your accountant to confirm before it is recorded.
Can our own finance lead be the approver instead of a Finaley accountant?
Yes. You choose who signs off on each type of bill. Many teams use their own finance lead for routine approvals and bring in a Finaley chartered accountant only for high-value or unusual bills.
What do you need from us to begin?
A short screen recording of someone entering a few bills, or a call with them, plus access to a Zoho Books user with the right permissions. We build and test on your past bills before anything runs on live data.
