Interview scheduling automation for hiring teams
Booking one interview often takes a dozen messages. The recruiter checks three panellists' calendars, offers times to the candidate, waits for a reply and starts again when someone cancels. Multiply that by every open role and coordination becomes a full-time job. Finaley AI Studio runs this back-and-forth for your hiring team, inside your calendar, email and ATS, and passes anything sensitive to a recruiter.
Calendars, not candidates, slow your hiring
Panel members are busy with their own work, and their availability changes daily. Candidates are often employed and can only talk early in the morning or after office hours. Every round needs a video link, a briefing note for interviewers and a reminder, and every reschedule restarts the chain. When a slot is missed, strong candidates lose interest, and the ATS rarely shows which interviews are actually confirmed.
How the automation runs
- 1
Pick up candidates ready to interview
AI agentWhen a recruiter moves a candidate to an interview stage in the ATS, the agent notes the round, the panel required and the preferred format.
- 2
Find common panel time
AI agentIt reads the free and busy slots of every panellist in the shared calendar and finds windows where the whole panel is available together.
- 3
Offer slots to the candidate
AI agentThe candidate receives a short email or WhatsApp message with a few options, and their choice is confirmed back to them within minutes.
- 4
Send invites and briefs
AI agentCalendar invites with the meeting link go to everyone, and panellists receive the resume and the round's focus areas ahead of time.
- 5
Remind and reschedule
AI agentReminders go out before each interview. If anyone cancels, the agent offers fresh slots and updates all invites without the recruiter starting over.
- 6
Recruiter handles exceptions
Professional checkSenior-level candidates, repeated reschedules or special requests such as accessibility needs go to a recruiter, who decides how to proceed.
Connects calendars, inbox and ATS
The automation uses the Google Workspace or Microsoft 365 calendars your panel already keeps, the recruiter's email address, and your ATS stages. It works through these tools the way a coordinator would, or through their APIs where available. Interview feedback forms and round names stay as your team defined them, so nothing in your hiring process needs to change.
Recruiters stay in control of the candidate experience
Messages use wording your team approves, and candidates can always reply to reach a person. The automation does not share feedback, salary details or decisions with anyone. Unusual cases are handed to the recruiter who owns the role, and every booking, change and reminder is recorded so you can see the full history of a candidate's interviews.
What you get
- Interviews confirmed without long email threads
- Panels briefed before every round
- Cancellations rebooked quickly
- A clear view of which interviews are confirmed
Questions
Can it schedule panels with several interviewers?
Yes. It checks every panellist's calendar together and offers the candidate only the windows where all of them are free. If no common slot exists within your preferred timeframe, it tells the recruiter so they can swap a panellist or extend the range.
How do candidates pick a time?
They receive a short message by email or WhatsApp with a few slot options and reply with their choice. The agent confirms it, sends the invite and adds the meeting link. If none of the times work, they can suggest their own.
What happens if a panellist cancels at the last minute?
The agent notices the declined invite, informs the candidate politely and offers new slots that suit the remaining panel. If the round cannot go ahead without that person, it alerts the recruiter so they can arrange a replacement.
Does it work for walk-in drives and bulk hiring?
It can assign candidates to time slots across a hiring drive, send directions and reminders, and track confirmations. The exact flow is built from how your team runs drives today, which you can show us through a recording or a short call.
Will candidates know a machine is scheduling them?
Messages are written in your team's voice and sent from your recruiting address. We can state that scheduling is automated if you prefer. Any question beyond timing, such as about the role or salary, goes straight to the recruiter.
